POPIA and privacy
How we handle your information
The Greyton Conservation Society is committed to protecting personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
What we collect
We collect only what we need in order to run the society:
- Names and contact details of members, donors and monthly contributors, so that we can administer membership, issue notices of the annual general meeting, and acknowledge contributions.
- Names and contact details of stall holders at the Greyton Village Market.
- Any details you choose to include when you write to us.
This website
This website does not run analytics or advertising trackers, does not sell anything and does not create an account for you. It sets a cookie only if you log in to manage the site. When you send us a message or sign up as a member, what you type is emailed to us and kept in the society’s records on this website so that we can reply and manage your membership.
Fonts are loaded from Google Fonts, which means your browser makes a request to Google when a page loads. Our web host keeps standard server logs, which may include IP addresses, for security and troubleshooting.
Why we hold it, and for how long
We process personal information to administer membership and donations, to keep members informed about the society’s activities, and to meet the record keeping obligations that apply to a non profit organisation. We keep member and donor records for as long as the membership or contribution relationship continues, and thereafter only for as long as the law requires.
Who we share it with
We do not sell personal information, and we do not share it for marketing purposes. We share it only where it is necessary to run the society, for example with our bank in respect of payments, or where the law requires it.
Membership records
If you sign up as a member we keep your name, contact details, the type of membership, the date you paid and when it is due for renewal. We keep a record that you agreed to this, and the date. We use it to manage your membership and to send renewal reminders, and for nothing else. Every reminder carries a link to stop them.
Your rights
Under POPIA you may ask us to confirm what personal information we hold about you, to correct or delete information that is inaccurate, irrelevant, excessive or out of date, and to object to our processing of it. You may also withdraw consent to receive communications from us at any time. Write to greytonconservation@gmail.com and we will attend to it.
If you are not satisfied with how we have dealt with your request, you may complain to the Information Regulator of South Africa.
Contact
Questions about this note, or about the personal information we hold, may be sent to greytonconservation@gmail.com.
Note for the committee
POPIA requires a registered Information Officer. Once the society has confirmed who that is, their name and contact details should be added to this page, and the appointment registered with the Information Regulator.
